Youmans & Gardner, CPAs' professional payroll preparation service provides clients with a local resource with access to top level services to help support their payroll needs. As part of our controller and internal accounting services, payroll preparation frees small business owners and managers to concentrate on the areas of their businesses where their efforts are needed more, instead of on the administrative task of writing employees' checks.

Here is what you can expect from our Payroll Preparation service.

 

Step 1 - Delivery of Payroll Information

There are a number of options for clients to submit their payroll records. We can receive time sheets or cards by fax or delivery to our office. For your convenience, we also offer Remote Payroll Data Entry through our NetClient portals. This service allows clients to login to their secure portal and update employee information, add new employees, and enter payroll information such as regular and overtime hours, sales amounts for commission calculations, and any deductions amounts. Regardless of your preference, we can offer a payroll solution to fit your business needs.

 

Step 2 - Payroll Processing

Within two business days our staff accountants will process any employee additions, changes, or terminations and then compute the payroll check amounts including gross pay, all required tax withholdings, and deductions including cafeteria plan elections, garnishments, and other amounts.  With our professional service you can rest assured that each check will be computed correctly.

 

Step 3 - Delivery of Payroll Checks

After processing, we will deliver the checks in the format that meets the client's needs.  We offer traditional paper checks that we can deliver or ship to your business or that can be picked-up at our office.  Through a NetClient portal we can post images of payroll checks that can be printed your office.  Additionally, we can offer the convenience of direct deposit where the employees' net pay will be automatically deposited into their personal bank accounts.  Employee pay stubs can be uploaded to their own Web Employee portal, a version of our client portals, where they can view and print details related to their paychecks and update their W-4 withholding information.

 

Step 4 - Payment of Liabilities and Compliance Filings

In addition to your payroll checks, our payroll preparation service can also help you meet your obligations arising from payroll deductions and withholdings. We will prepare payments to satisfy all deduction liabilities as well as meet all federal and state tax deposit requirements. At the end of each quarter we will prepare the quarterly federal and state payroll tax returns with copies posted to a client portal. At year-end we will prepare employees' wage and tax statements (Forms W-2) and deliver them on paper or posted to each employee's private portal.

 

How Much Should I Expect to Pay?

The standard price of our Payroll Preparation service includes a fixed amount per check run plus a per check/draft amount. A typical client with five weekly paychecks would pay about $125 per month.

Our standard price includes:

  • drop-off or faxing of payroll records
  • employee payroll checks and direct deposits,
  • unlimited new hires, employee changes, and terminations,
  • payroll check calculation and printing,
  • payroll pick-up or delivery within Bainbridge,
  • payment of payroll deduction and withholding liabilities,
  • electronic filing of all quarterly federal and state payroll tax returns,
  • annual wage and tax statements and related transmittals
  • new hire reporting to state authorities, and
  • copies of all checks, reports, and returns posted to a client portal.

 

Options that are in addition to our standard price, include:

  • Web Employee portals ($5 per month per 10 employees), includes online:
    • employee time entry
    • Form W-4 withholding entry
    • pay stubs
    • Forms W-2
  • Remote Check Printing from a client portal ($9 per month)
  • Remote Payroll Data Entry through a client portal ($9 per month)
  • Time card calculation (standard hourly rates)
  • New hire authorization using e-verify ($5.00 per employee)
